Each call starts with AI and recording notices

Your receptionist identifies itself as a virtual assistant and tells the caller the call is recorded at the start. These notices are part of the greeting and cannot be disabled.

  • Virtual assistant noticeCallers hear the disclosure when your receptionist begins the conversation.
  • Recording noticeThe greeting tells callers their conversation is being recorded before intake continues.
  • Fixed disclosuresYour settings cannot turn off the virtual-assistant or call recording notices.

The greeting makes the nature of the conversation clear before your receptionist asks intake questions. You can hear that opening in the voice demo and during the test call before your forwarding goes live.

Recordings and transcripts let you review what a caller said and how the receptionist responded. Use them to check an unclear request or assess whether your business instructions need an update. You are responsible for your greeting and policies, and the product keeps the virtual-assistant and recording notices enabled.

Review storage, service providers and retention

Call records are available in your dashboard, with hosting and storage providers supporting the service. Recording retention is your choice of 30 or 90 days, after which recordings are deleted.

  • Call recordsYour dashboard includes calls, transcripts and recordings for you to review.
  • Provider rolesHosting, storage, telephone and AI providers help process information for the service.
  • Recording retentionChoose 30 or 90 days; recordings are deleted after your chosen period.

Your business decides what caller information to collect and why. We process that information on your behalf, using service providers for functions such as hosting, storage, telephone service and AI processing.

You can review call records in the dashboard and receive details through email and app push alerts. Recordings follow the retention period you choose. Transcripts and summaries stay while your account is open and are deleted within 30 days after it closes or on request. The privacy policy explains the information collected and the categories of providers involved.

Understand how AI processing uses call information

AI model providers process voice and text to deliver the receptionist service. Our AI model provider, OpenAI, does not use our API data to train its models by default.

  • Service processingVoice and text information goes through AI providers as part of reception.
  • Training defaultOpenAI does not use our API data for model training by default.
  • Marketing boundaryWe do not use callers' information for our own marketing or sell it.

AI processing is part of how the receptionist answers calls and produces call information. Our AI model provider, OpenAI, excludes our API data from model training by default. That statement concerns training; the service still needs to process voice and text to carry out its functions.

We do not sell personal information or use your callers' data for our own marketing. Your business determines the purpose of collecting caller details, and we process those details on your behalf. Email privacy@plumbingansweringai.com with questions about the information involved or a privacy request.

Choose a recording retention period that fits how your business reviews calls. The options are 30 or 90 days. Transcripts and summaries have a separate schedule: they remain while your account is open and are deleted within 30 days of account closure or on request.

For access, correction, deletion or opt-out requests, write to privacy@plumbingansweringai.com. A caller may ask your shop or contact us. Your business decides why caller information is collected; our processing supports that purpose. Review the full data policy when deciding what information your receptionist should gather.

Our published data practices describe collection, processing, retention and privacy requests. They do not represent a security certification or completed audit. Use those specific practices to assess whether the service fits your plumbing business.

The receptionist is not an emergency service. Its safety scripts direct callers reporting hazards such as gas smells or flooding near electricity to get everyone out and call 911 or the utility from outside, then alert you. The AI can make mistakes, so review summaries and maintain a backup contact route. Send service questions to support@plumbingansweringai.com and privacy questions to privacy@plumbingansweringai.com.
